Role Overview

The Bid Coordinator supports the delivery of high-quality, fully compliant bid submissions across public and private sector opportunities. The role exists to provide capacity, continuity, and control within the bid function, ensuring that smaller bids, frameworks, and DPS applications are progressed consistently and that submission risk is reduced.

The Bid Coordinator manages bid process, compliance, supplier onboarding, and submission mechanics, enabling the Bid Manager to focus on strategy, solution design and high-value, complex bids.

This is a detail-driven role requiring strong organisation, commercial awareness and the confidence to enforce standards and chase inputs across the business.


Key responsibilities:

  • Managing bid administration from opportunity launch to submission. This includes setting up and maintaining bid trackers, compliance matrices, clarification logs, and version control; controlling document structures and file naming; and ensuring all deadlines, formats, and submission rules are met without exception
  • Managing tender portals and buyer interfaces, monitoring portals daily for updates and clarifications, downloading and distributing documents, uploading responses and completing final submissions accurately and on time.
  • Owning compliance management across all bids they support. This includes completing Supplier Questionnaires, enforcing word counts, ensuring all mandatory requirements are explicitly addressed and flagging gaps or risks early. 
  • Leading the end-to-end coordination and submission of lower-value and lower-complexity bids, including DPS applications and framework call-offs, under agreed guidance. For larger and more complex bids, they will provide structured support to the Bid Manager.
  • Managing frameworks and DPS lifecycle activity. This includes submitting new applications, tracking refresh and update cycles, maintaining organisational information and ensuring the business remains eligible for call-offs and direct awards.
  • Coordinating internal contributors and external suppliers. This includes briefing subject matter experts on what is required, setting and enforcing internal deadlines, chasing inputs, consolidating responses and escalating delivery risks early.
  • Supporting supplier onboarding for bid purposes. This includes coordinating and populating responses to due diligence questionnaires, provision of policies and validating due diligence and compliance documentation, and ensuring supplier evidence supports bid claims. 
  • Managing the bid content and evidence library. This includes maintaining current policies, CVs, case studies, accreditations, and standard responses, ensuring consistency, accuracy and alignment with how the organisation positions itself in the market.
  • Providing drafting, formatting and editing support. This includes populating standard sections, tailoring low-risk boilerplate, formatting responses to buyer specifications and editing for clarity and compliance.
  • Running quality control prior to submission. This includes checking for inconsistencies, duplication, incorrect client references, formatting errors and missing content, acting as the final internal line of defence before submission.
  • Providing continuity and cover within the bid function. During periods of Bid Manager absence, they will manage smaller bids, framework submissions and critical bid activity under agreed guidance, ensuring deadlines are not missed.
  • Supporting post-submission activity. This includes archiving final submissions, capturing and logging feedback, updating bid content based on learning, maintaining pipeline visibility and producing basic bid activity reporting such as bids submitted and frameworks maintained.


Candidate Specification:

Essential

  • Strong organisational and time management skills
  • High attention to detail and comfort working to strict deadlines
  • Clear written communication and confidence chasing senior stakeholders
  • Experience working with structured documents, evidence, and processes
  • Strong IT literacy, including Microsoft Word, Excel and online portals

Desirable

  • Experience supporting bids, tenders, or proposals
  • Familiarity with public sector procurement, frameworks, or DPS
  • Exposure to supplier due diligence or onboarding
  • Experience in compliance-led or regulated environments
