Business Support & Office Coordinator

Role Overview
We are looking for a proactive, people-oriented professional to join the Cambridge Spark People Team. As our Business Support & Office Coordinator, you will be the "heart of the office" someone who loves looking after people, goes the extra mile to ensure things run smoothly, and takes full ownership of our physical workspace.
Key Responsibilities:
Office & Workplace Experience
- Responsible for the company's premises and managing all necessary services including cleaning contracts, maintenance, and access control to enable the company's smooth operation.
- Responsible for keeping on top of office consumables and supplies, and the opening and distribution of post.
- Organise and execute successful company events and team days, and manage gifts for various occasions such as work anniversaries and celebrations.
- Order and manage company merchandise for events and internal team use.
- Answer and manage incoming phone calls, directing them to the appropriate team members.
Health, Safety & Compliance
- Ensure company-wide compliance with all health and safety regulations.
- Take the lead on health and safety tasks, including conducting risk assessments, VDU assessments, and coordinating PAT testing.
- Manage and maintain first aid requirements and certifications for the office.
People Team Administration
- Act as the custodian for company policies, ensuring they are stored correctly on the relevant systems and prompting relevant owners for regular updates.
- Maintain a tidy and logical filing system on Google Drive and relevant systems to ensure ease of access for the team.
- Maintain and improve administrative procedures and systems in collaboration with other managers.
- Manage ad-hoc office procurement and miscellaneous spending using the corporate credit card, ensuring all purchases are tracked and reconciled and aligned with company policies.
Business & Executive Support
- Supporting the executive team and wider staff with travel-related bookings and requests.
- Provide adhoc diary management for members of the executive team.
- Provide administrative support to the CEO, the Management Team, and other team members as and when required.
- Support the team with DocuSign signing processes and digital filing.
Additional Duties
Undertake any other related tasks as required by the business within the scope of the role
Candidate Specification
Essential
Experience supporting teams (including executives) with diary management, general admin and travel logistics.
- Experience managing a physical office space, coordinating with third-party vendors and organising events.
- Understanding of UK Health & Safety legislation.
- Experience with Google Workspace and comfortable learning new digital tools.
- Ability to work autonomously in a fast-aced, high growth technology environment.
- Ability to travel to our Kings Cross office at least two days per week.
